To send automated WhatsApp messages, you need WhatsApp Business API (not the regular WhatsApp Business app). Apply via a Meta Business Solution Provider (BSP). MOVO-X is a BSP-integrated platform — you can connect your clinic's number via our admin portal without a separate API application.
In MOVO-X Admin → Integrations → WhatsApp, enter your clinic's phone number. You will receive a verification code via call or SMS. This number will be the sender for all patient messages. Ensure it is a dedicated business number, not a personal one.
WhatsApp Business requires pre-approved templates for outbound messages. In MOVO-X, use the built-in template builder to create: (a) 24-hour reminder, (b) 2-hour reminder, (c) appointment confirmation, (d) cancellation confirmation. Templates are submitted to Meta for approval — typically 24–48 hours.
In Admin → Appointments → Reminder Settings: set 24-hour reminder (send at 8:00am the day before) and 2-hour reminder (send 2 hours before appointment time). Enable both by default — either can be disabled per appointment type if needed.
Create a test appointment for your own phone number. Verify you receive the WhatsApp confirmation immediately after booking, the 24-hour reminder, and the 2-hour reminder. Check that the appointment details (date, time, doctor name, clinic name) are correct in the message.
Configure the template so patients can reply "1" to confirm, "2" to reschedule, or "3" to cancel. MOVO-X processes these replies automatically — confirmed appointments are marked confirmed; cancellations free the slot and send a cancellation confirmation.
Never use the "hello_world" test template in production — it only works from Meta's test phone numbers and will fail for real patients.
Include the doctor's name and room number in the reminder message — this is the information patients most often call the clinic to ask for.
Keep template messages under 160 characters — longer messages display as two separate bubbles on some phones, which looks unprofessional.
Meta charges per conversation (24-hour window), not per message. Rates vary by country: Malaysia rates are approximately RM 0.05–0.08 per conversation. For a clinic sending 50 reminders per day, this is approximately RM 75–120/month.
MOVO-X falls back to SMS for patients without WhatsApp, using the same phone number. SMS has lower delivery rates but ensures all patients receive some form of reminder. Configure your SMS fallback provider in Admin → Integrations → SMS.
